PDF Too Large to Share
The failure is the bounce or the upload error, not a missing desktop app. Mailboxes commonly struggle somewhere between 10 MB and 25 MB, and many forms stop at 2 MB, 5 MB, or 10 MB. Use the limit in the error message, then reduce the file in the order below.

Recompress the images first. If the file is still over the limit, extract the required pages. Redraw the PDF only when it is a scan and you can send a file whose text cannot be selected.
Match the cut to the limit you were given
Read the rejection. If it names 10 MB and your file is 14 MB, you need a modest cut, and Balanced image recompression is enough for many photo PDFs.
If the cap is 2 MB and the file is a long color scan, recompression may not be enough. Extract the pages the form asked for, then redraw what remains if it is still over the cap.
Do not chase an exact kilobyte figure the tool cannot promise. The result card shows the real size. If that number is still above the limit, try the next step instead of uploading the same file again.
A sharing order that keeps the useful file
First, recompress images so a report with figures stays searchable. Send that file if it fits.
Second, extract the pages named in the request, such as a signature page or an ID scan, and leave the rest out. Sharing less is often the only way under a strict portal cap.
